A leading global investment firm is seeking a highly organised, proactive Team Assistant to support senior stakeholders within a fast-paced, dynamic environment. This role is ideal for a Team Assistant with proven experience supporting executives within financial setting.
 
About the Role
As a Team Assistant in our client facing investment team, you’ll play a key role in ensuring seamless operational support for a team of senior executives. You’ll manage complex global diaries, coordinate meetings and international travel, handle confidential communications, and act as a linchpin for internal coordination across the business. This is an exciting opportunity to join a growing, high-performing team in a collaborative and fast-moving environment.
 
Key Responsibilities
  • Manage complex calendars and schedule meetings across global time zones
  • Coordinate internal and external meetings, including preparation of materials and logistics
  • Organise global travel, accommodation, and visa arrangements
  • Support international visitors and liaise with reception and facilities for meeting room bookings and hospitality
  • Handle onboarding for new team members
  • Submit monthly expense reports and process invoices in line with company policies
  • Manage confidential correspondence and routine enquiries
  • Assist with planning and execution of team events
  • Provide ad hoc support to other EAs and administrative staff
 
Key Skills & Experience
  • 3+ years of solid experience supporting multiple senior managers with Team Assistant duties.
  • Experience within a corporate financial services organisation
  • Strong organisational and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Outlook, Word, and PowerPoint
  • Experience with Concur (desirable but not essential)
  • Proactive, solutions-focused, and confident working independently
  • High level of discretion and attention to detail
  • Flexible and adaptable with a collaborative mindset
