Job Summary:
We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our Clients office.

This is a part time, on site role - working Monday to Thursday.

The Office Manager will play a key role in ensuring that everything runs smoothly and efficiently by managing administrative tasks, supporting staff, maintaining office supplies, and ensuring a positive work environment. The ideal candidate will be a detail-oriented individual with strong organisational skills and the ability to manage multiple responsibilities at once.

Key Responsibilities:
Office Operations:
  • Oversee the daily operations of the office, ensuring a clean, organized, and productive environment.
  • Manage office supplies inventory and order supplies as needed.
  • Ensure that office equipment is well-maintained and functional (e.g., printers, copiers, etc.).
  • Serve as the point of contact for office-related needs and issues.
Administrative Support:
  • Provide administrative support to senior staff, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist with travel arrangements and event planning (e.g., meetings, conferences, team-building activities).
  • Handle incoming phone calls, emails, and inquiries, directing them to the appropriate team members.
  • Maintain and organize filing systems, both electronic and physical.
Facilities Management:
  • Liaise with building management and external vendors for office maintenance, cleaning, and repairs.
  • Ensure that the office complies with safety and health regulations.
  • Coordinate office moves or setups as necessary.
Financial and Budget Management:
  • Monitor and manage office budget, tracking expenses for supplies, equipment, and other office-related needs.
  • Process invoices and manage vendor payments as needed.
Team Support:
  • Provide support to staff in day-to-day tasks, such as coordinating lunch orders, booking meeting rooms, and setting up for presentations.
  • Foster a positive office culture by maintaining a welcoming environment for visitors and employees.
  • Organise team events or activities to improve morale and promote teamwork.
Other Duties:
  • Handle confidential information with discretion and integrity.
  • Support HR with onboarding new employees and assisting with other employee-related tasks as needed.
  • Perform other office-related duties as assigned by management.
Qualifications:
  • Proven experience as an Office Manager, Administrative Assistant, or in a similar role.
  • Strong organizational and multitasking skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently as well as part of a team.
