Role Summary
The Executive Assistant (EA) to the CEO plays a critical role in enabling the effective functioning of the CEO by providing high-level administrative, organisational and operational support.

The role requires exceptional coordination, discretion, judgement and stakeholder management skills to ensure the CEO Office runs efficiently, professionally and in alignment with organisational priorities.

Key Responsibilities
Diary Management
  • Own and manage the CEO's diaries, ensuring effective prioritisation and optimal use of time.
  • Work closely with the CEO Office, Stakeholder and Communications teams to implement and maintain clear prioritisation and scheduling processes.
  • Stay closely aligned to CEO and organisational priorities and key relationships to support and evaluate effective time management and decision-making.
CEO Briefing
  • Assemble high-quality briefing packs and pre-reads for internal and external engagements.
  • Ensure agendas, objectives and success criteria are clearly defined.
  • Coordinate pre-briefs and de-briefs as required.
  • Brief the CEO Office at internal meetings and contribute to internal reporting processes.
Inbox Management
  • Support the triage of the CEO Office inbox, drafting responses and routing items accordingly.
  • Maintain accurate records and filing systems in collaboration with the Senior EA.
  • Handle highly sensitive and confidential information with absolute discretion and professionalism.
Stakeholder and Contact Management
  • Act as an ambassador for the CEO’s Office and serve as an effective, professional first point of contact.
  • Work with the stakeholder team to maintain and update key contact lists.
  • Provide timely updates and support relationship management.
  • Build and nurture strong peer networks both internally and externally.
Travel and Events
  • Plan and coordinate complex UK and international travel, including visas, logistics and hospitality arrangements.
  • Liaise with event organisers and internal teams to ensure seamless delivery of engagements.
  • Coordinate CEO Office-hosted events and VIP visits, ensuring they are delivered to the highest standard.
CEO Office Management
  • Process CEO Office expenses in line with organisational policy.
  • Support spend tracking, subscription renewals and administrative compliance.
  • Raise purchase orders and reconcile financial documentation.
  • Own and maintain the CEO Office SharePoint file structure and storage.
  • Ensure all general facility needs of the Office of the CEO are met effectively and efficiently.
Action, Approval and Decision Tracking
  • Maintain accurate trackers for actions, approvals and decisions.
  • Proactively follow up with owners and escalate where appropriate to ensure timely completion and accountability.
Continuous Improvement
  • Contribute ideas to streamline CEO Office workflows and enhance efficiency.
  • Evaluate existing systems and processes, identifying opportunities for improvement.
  • Learn from best practice across internal and external networks.
  • Provide cover for the Senior EA role when required.

  • Proven experience supporting senior executives in a complex, fast-paced environment.
  • Exceptional organisational and time management skills.
  • Strong written and verbal communication skills.
  • High level of discretion, integrity and professionalism.
  • Ability to manage multiple priorities and work under pressure.
  • Excellent stakeholder management and relationship-building capabilities.
  • Strong attention to detail and problem-solving skills.
  • Advanced proficiency in Microsoft Office and document management systems (including SharePoint).
