About the Role
Office & Facilities Administrator
Location: Central London (Office-based)
Contract: 12 month FTC | Part-time (28 hours per week, Monday to Thursday)
Salary: £28,000 (£22,400 pro rata)
The Opportunity
An exciting opportunity has arisen for an organised and customer-focused Office & Facilities Administrator to join a busy operations team. This role is ideal for someone who enjoys providing first-class reception and administrative support while helping to ensure the smooth running of a welcoming and professional office environment.
The Role
Reporting to the Facilities Manager, you will play a key role in the day-to-day operation of the office, providing reception, facilities and administrative support. You will be the first point of contact for visitors and suppliers, ensuring an exceptional experience while helping to maintain a safe, efficient and well-organised workplace.
Key responsibilities include:
• Managing reception services and acting as the first point of contact for visitors, callers and deliveries
• Answering incoming calls, responding to enquiries and directing queries appropriately
• Processing incoming and outgoing mail, courier bookings and deliveries
• Maintaining visitor records, staff contact information and attendance logs
• Supporting meeting room bookings and ensuring facilities are presented to a high standard
• Coordinating maintenance requests, repairs and supplier visits
• Managing stationery, refreshments and office supplies
• Providing support with health and safety administration and office compliance activities
• Liaising with contractors, cleaners and other external suppliers
• Supporting wider team projects and contributing to continuous improvement initiatives
Essential:
• Previous office administration, reception or facilities experience
• Strong organisational and administrative skills
• Excellent communication and customer service skills
• Ability to remain calm, professional and welcoming in a busy environment
• Strong relationship-building skills and confidence liaising with a range of stakeholders
• Good IT skills, including Microsoft Office 365
• Proactive, flexible and solutions-focused approach
• Commitment to creating a welcoming and inclusive environment for visitors and colleagues
Desirable:
• Interest in the charity or grant-making sector
• Willingness to undertake Fire Warden and First Aid training
